Alumni Relations and Advancement Associate
Description
Ojai Valley School is a pre-kindergarten to grade 12 independent boarding and day school located on two campuses in Ojai, California. The Lower Campus serves students in grades PK-8 and the Upper Campus serves students in grades 9-12.

Summary of Position:
Ojai Valley School has an immediate opening for an Alumni Relations & Advancement Associate to support alumni outreach, communications and fundraising. The Associate will serve as a key member of the Advancement team, managing alumni social media accounts, planning alumni events, coordinating mailings, responding to alumni inquiries, and assisting the Director of Development with fundraising, volunteer management and donor stewardship. The ideal candidate will be self-motivated, collaborative, and detail-oriented with the ability to multitask, take direction, and work independently in a fast-paced environment. The position reports to the Director of Advancement & Admission and works closely with other members of the Advancement team. The candidate must have strong writing skills to deliver clear, concise communications in a timely manner and the ability to liaison in a warm and positive manner with alumni from different eras and countries, volunteers, faculty and staff, parents, grandparents, and students who taken together comprise the diverse Ojai Valley School community.

Main areas of focus and responsibility:
• Manage alumni social media and assist with alumni publications
• Manage Alumni Weekend and other alumni gatherings and events throughout the year
• Assist Directors with fundraising and stewardship events, including Family Weekend and the annual Gala & Auction
• Maintain contact and communication with alumni Class Agents
• Update alumni database to maintain accurate and current information
• Initiate and support efforts to actively engage current students and young alumni to stay connected with each other and the School
• Assist Directors with Annual Fund and Capital Campaign coordination and communications, including coordinating mailings, events, and other appeals
• Recommend and implement new alumni initiatives, working with alumni, faculty and staff, past parents and students in support of the School’s strategic goals to engage alumni worldwide and create more opportunities for alumni and student connections

The candidate should have demonstrated ability to work and succeed in a team environment, experience and comfort with technology and data management, and the ability to organize and manage multiple projects and priorities. Preference will be given to individuals who have worked at an independent school, particularly in a boarding school environment. Professionalism and confidentiality is required.

Key Responsibilities and Essential Duties:

Communications and Alumni Outreach:
1. Accurately and enthusiastically communicate information about the School’s mission, academic and co-curricular programs, future plans, and campaign goals to current families, alumni, and prospective donors with a goal of sustaining alumni engagement and increasing philanthropy
2. Manage alumni social media accounts, creating original and tailored content for Facebook and Instagram with a goal of producing frequent communications that engage alumni in the life of the School
3. Manage alumni events, including Alumni Weekend, Pons Dinner, the Senior-to-Alumni Dinner, class reunions, alumni receptions and regional gatherings
4. Initiate and support efforts to actively engage current students and young alumni to stay connected with each other and the School, including organizing surveys of college-age alumni in collaboration with the College Counseling office
5. Assist in the production of alumni publications, including the bi-annual Family Tree magazines, by collecting and editing alumni updates and other related content
6. Attend all-school meetings on both campuses, and stay informed of campus news and events to share with alumni and past parent constituencies
7. Maintain contact and communication with alumni Class Agents
8. Respond to alumni inquiries in a timely, professional and welcoming manner
9. Update alumni database on a regular basis to keep information current and accurate
10. Assist the Directors with advertising, marketing, and alumni and community outreach
11. Assist the Admissions team by helping to steward legacy families
12. Collaborate with faculty members on both campuses regarding alumni outreach
13. Respond in a timely manner to alumni requests for transcripts and records
14. Maintain a warm and positive attitude in interactions with faculty, alumni, parents, students, and community members in support of the School’s mission and future goals
15. Tour alumni when they visit campus
16. Travel as needed to meet alumni and donors

Fundraising:
1. Coordinate and execute prospect mailings and other outreach for donor cultivation, solicitation and stewardship
2. Assist with Annual Fund and Capital Campaign solicitations
3. Assist with planning of donor cultivation meetings and ensure timely and personal follow up
4. Assist in planning of Annual Fund and Capital Campaign appeals, including but not limited to print and electronic communications, special events, and committee meetings

Other Duties:
1. Support and assist the Development Committee of the Board of Trustees
2. Assist with management of the School’s historical archives
3. Support School rules and regulations, adhering to the guidelines of the Faculty Training Manual
4. Other related duties as determined by the Director of Advancement & Admission

QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE:
Candidates for this position should hold a Bachelor's degree (B.A.) from four-year college or university; previous experience in event planning, fundraising and/or communications is preferred.

LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write and correspond accurately with various constituencies; ability to speak effectively before groups of parents, alumni, students, or employees of the organization.

MATHEMATICAL and/or TECHNICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to work in and access information through Development/Alumni database, as well as Excel, Word, and other programs as needed.

REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; ability to deal with problems involving several concrete variables in standardized situations.

CERTIFICATES, LICENSES, REGISTRATIONS:
1. California Driver's License preferred.
