Annual Giving and Special Events Coordinator- Part-time
Description
Hollywood Schoolhouse is an independent school for grades Preschool-6 with an enrollment of 325 students on our campus in Los Angeles, CA. We are well known for a blended program of progressive and traditional instruction as well as a strong community that supports students throughout their entire journey in primary education.

The Annual Giving and Special Events Coordinator specifically oversees Hollywood Schoolhouse’s Annual Giving Program (the Schoolhouse Fund) and helps organize and support various events designed to foster an engaged and inclusive community. This role provides vital support to all areas of development, including donor acknowledgment and stewardship, volunteer coordination and appreciation, and general office administration and database management.

Key Responsibilities:
Annual Giving: The Schoolhouse Fund
*Coordinates all aspects of our Annual Giving program
*Develops targeted campaigns and drafts appeals to all Schoolhouse constituencies
*Prepares and compiles all materials for education & communication surrounding the Schoolhouse Fund
*Tracks fundraising and participation goals and reports to the community
*Ensures that major gift prospects are identified among annual donors and coordinates necessary meetings with the Director of Advancement and Head of School
*Monitors program results and provides ongoing analysis and evaluation of solicitation programs
*Coordinates cultivation and stewardship plan for Schoolhouse Fund donors
*Maximizes the corporate matching gift potential among current and prospective donors
*Manages the gift entry and acknowledgment process, ensuring accurate and timely processing of gifts and pledge reminders
*Strategizes use of the donor database, reporting tools, and technology platforms to support workflow and fundraising efforts
*Assists with writing and reporting for the School’s Annual Report


Special Events / Volunteer Support
*Coordinates Grandparents & Special Friends Day, State of the School, and Donor/Volunteer Recognition events
*Supports Parent Association volunteers with events such as Harvest Festival, Winter Festival, General Meetings, and the annual Gala/Auction
*Attends development and other school events and is a visible and engaged community member
*Serving as lead organizer for events including Distinguished Lecture events, donor
*Creates and maintains event plans, vendors, facilities, and timelines to coordinate responsibilities and work with Director of Advancement and parent volunteers
*Manages events from start to finish, including invitations, vendor management, facilities and A/V needs, budget, registration, promotion, and event close-out, as appropriate.

*General office and strong administrative/computer skills
*Ability to collaborate and communicate with a wide range of individuals inside and outside of the school, in formal and informal settings
*Positive, joyful attitude and ability to demonstrate enthusiasm for the students, mission, programs, and aspirations of the school
*Ability to represent Hollywood Schoolhouse in a professional, relational, and ethical manner while maintaining appropriate confidentiality
*Strong time management, organizational, and detail-oriented skills
*Effective and open communication skills, both written and verbal
*Ability to organize and prioritize workload in a timely manner and handle multiple deadlines
*Strong problem-solving and collaboration skills
*Availability to work some nights/weekends

Qualifications and Experience
*Required: Bachelor's degree; 2-5 years working in Advancement or Development or similar non-profit or professional experience; Microsoft Office Suite; Familiarity with relational database software systems
*Preferred: Event planning / Writing & Communications
